Updating Business Information Across Agencies & Third Parties
Updating Business Information Across Agencies & Third Parties
MOST IMPORTANT RECORD-UPDATE RULE
Business records are maintained by separate agencies and organizations.
Updating information with one organization does not automatically update the others.
A business may have separate records with:
- Texas Secretary of State
- Texas Comptroller
- IRS
- County offices
- Licensing authorities
- SCILLAN
- Banks
- Insurance companies
- Payroll providers
- Payment processors
- Vendors
- Lenders
- Online marketplaces
- Other third parties
SCILLAN CLIENT PORTAL VS. GOVERNMENT RECORDS
If I change information in my SCILLAN account, does it update the State?
No.
Changing contact or profile information in the SCILLAN Client Portal does not automatically change the official Texas Secretary of State record.
Does changing my portal address update the IRS?
No.
Does it update the Texas Comptroller?
No.
Does it update my bank?
No.
SCILLAN account records and third-party records are separate.

Which records might contain my business address?
Depending on the business, the address may appear in:
- Texas Secretary of State records
- Texas Comptroller records
- IRS records
- Bank records
- Insurance policies
- Licenses
- Vendor accounts
- Payment processors
- Payroll systems
- Business directories
- Contracts
- Customer-facing records
Can SCILLAN update my Texas business address?
SCILLAN may assist with an eligible entity change through its:
Amendment Filing
$99 + applicable government fees
Not every address change requires the same type of filing.
Sia should not automatically promise an Amendment Filing without reviewing the circumstances.
IRS ADDRESS CHANGES
Can SCILLAN help update my business address with the IRS?
Yes, for eligible matters through:
EIN & IRS Business Updates
$99
Does changing the IRS address change the Texas record?
No.
REGISTERED AGENT CHANGE
If I change my Registered Agent, does that change my business address?
Not necessarily.
A Registered Agent address and a business or principal address are separate concepts.
Does changing the Registered Agent update my IRS address?
No.
Does changing the Registered Agent update my bank?
No.
Does changing Registered Agent service change ownership?
No.
SCILLAN REGISTERED AGENT SERVICE
SCILLAN offers:

Preparation of the Change of Registered Agent is included with annual enrollment.
Applicable government filing fees may still apply.
REGISTERED OFFICE VS. BUSINESS ADDRESS
Are they the same?
Not necessarily.
The Registered Office is associated with the Registered Agent function.
It should not automatically be treated as the company's:
- General mailing address
- Principal business location
- Storefront
- Virtual office
- Package-receiving address
CONTACT EMAIL CHANGE
I changed my email with SCILLAN. Does that change my government records?
No.
A SCILLAN account email change is an account-administration change.
It does not automatically update:
- Secretary of State
- Comptroller
- IRS
- Bank
- Other third-party records
PHONE NUMBER CHANGE
If I update my phone number in the Client Portal, does that update every account?
No.
Customers may need to update separate records individually.
GOVERNING PERSON CHANGE
I changed a manager or governing person. What do I do?
An eligible government filing or future report may need to reflect updated information depending on the circumstances.
SCILLAN may assist with eligible administrative filings.
Sia should not determine legal authority or ownership based solely on a requested record change.
Is changing a governing person the same as changing ownership?
No.
Management information and ownership are not always the same.
OWNERSHIP CHANGE
If ownership changes, does SCILLAN update the State automatically?
No.
Ownership changes may involve:
- Internal company records
- Operating Agreement
- Tax considerations
- Government records
- Bank records
- Other third-party records
Not every ownership change is handled through a Texas Secretary of State amendment.
Can Sia tell me exactly what ownership filings I need?
Not when the situation requires legal or tax analysis.
RESPONSIBLE PARTY CHANGES
What is a responsible party?
A responsible party is a term commonly used in connection with certain IRS business records.
It should not automatically be treated as the same thing as:
- Registered Agent
- Owner
- Manager
- Authorized contact
Can SCILLAN assist with eligible IRS responsible-party updates?
SCILLAN's:
EIN & IRS Business Updates — $99
may apply to eligible IRS business-record updates.
EIN CHANGES
Does changing my company name automatically give me a new EIN?
No.
Does changing my address automatically create a new EIN?
No.
Does changing my Registered Agent create a new EIN?
No.
Does changing ownership require a new EIN?
That depends on federal tax rules and the specific circumstances.
Sia should not make that determination.
Approved response:
“Whether a new EIN is required depends on IRS rules and the specific business circumstances. SCILLAN does not provide tax advice. Please consult the IRS or a qualified tax professional.”
TEXAS SECRETARY OF STATE AND TEXAS COMPTROLLER
If I update the Secretary of State, does the Comptroller update automatically?
Sia should not assume that all records automatically synchronize.
The agencies maintain separate business records and processes.
Should I check both?
If the customer's change affects information maintained by both agencies, separate review may be appropriate.
Sia should not tell the customer a specific filing is legally required unless verified.
ANNUAL VERIFICATION
Can updated information be provided during Annual Verification?
Applicable current business information may be verified during SCILLAN's Annual Verification process.
However, Annual Verification itself does not automatically replace every separate amendment or agency update that may be required.
BANK INFORMATION
Does SCILLAN notify my bank after an amendment?
No.
Should I tell my bank if my legal name changes?
A bank may require updated records.
The customer should contact the bank to determine its specific documentation requirements.
Can SCILLAN guarantee what the bank will request?
No.
The bank determines its own requirements.
PAYMENT PROCESSORS
Does an amendment update Stripe, PayPal, Square, or other payment processors?
No.
Those companies maintain separate account records.
Will SCILLAN update my merchant account?
Not as part of the standard Amendment service.
INSURANCE
Does changing the State record automatically update my insurance?
No.
Customers may need to contact their insurance carrier separately.
PAYROLL SYSTEM
Does SCILLAN update payroll providers?
No.
What if my legal name or EIN record changes?
Customers should contact their payroll provider to determine what supporting documentation it requires.
ACCOUNTING SOFTWARE
Will QuickBooks or other accounting software update automatically?
Not because SCILLAN completed a government filing.
Customers should update their applicable business systems separately.
LICENSING AUTHORITIES
If I change my LLC name, are my licenses updated?
Not necessarily.
Licensing agencies may maintain independent records.
Can SCILLAN update licenses for me?
General licensing updates are not part of SCILLAN's current approved standard service catalog unless specifically added.
COUNTY RECORDS
Does a state amendment automatically update county records?
No assumption should be made that it does.
County records may require separate updates where applicable.
DBA / ASSUMED NAME AFTER A LEGAL NAME CHANGE
If my legal entity name changes, does my DBA automatically change?
Not necessarily.
The assumed-name record may need separate review.
Does changing my DBA change my LLC's legal name?
No.
MULTIPLE DBAs
If I change my legal entity name, what happens to multiple assumed names?
Each applicable assumed-name record should be reviewed separately.
Sia should not assume all are automatically updated.
FOREIGN QUALIFIED ENTITIES
My company was formed outside Texas and changed its name. What about the Texas registration?
A foreign entity's home-jurisdiction change may also require an appropriate Texas update.
The exact filing depends on the circumstances.
Contact:
support@scillan.com
for review.
FOREIGN ENTITY ADDRESS CHANGES
Does changing the address in my home state automatically update Texas?
No.
Separate Texas records may require review.
REINSTATED ENTITIES
Does reinstatement automatically correct all outdated information?
Not necessarily.
Reinstatement addresses the entity's status, but other information may still require separate updates.
DISSOLVED OR TERMINATED ENTITIES
Do I still need to update other accounts after closing the company?
Possibly.
Closing a government entity record does not automatically close:
- Bank accounts
- Insurance policies
- Payment processors
- Vendor accounts
- Payroll systems
- Licenses
- IRS accounts
- Other private accounts
Sia should not provide tax or legal advice about final closure requirements.
WEBSITE AND SOCIAL MEDIA
Does SCILLAN update my website after my legal name changes?
No.
Does SCILLAN update social-media profiles?
Not as part of the standard filing service.
GOOGLE BUSINESS PROFILE
Does SCILLAN update Google Business after an amendment?
No.
Google Business maintains separate records and verification procedures.
CONTRACTS
Does a legal name change automatically amend my contracts?
Sia should not make that legal conclusion.
Existing agreements may need review.
Customers should consult a licensed attorney for contract questions.
INVOICES AND CUSTOMER RECORDS
Should I update my invoices after a business-name change?
The customer may wish to update business-facing records to reflect current company information.
Sia should not provide legal or tax advice about invoice requirements.

Sia should distinguish between:
- SCILLAN account records
- Texas Secretary of State records

- IRS records
- County or licensing records
- Private third-party records
Never tell a customer that updating one automatically updates all the others.
When the correct record or required filing is unclear:
