Order Status, Filing Status & What Each Status Means

IMPORTANT STATUS RULE

A customer's SCILLAN order status and the government's filing status are not always the same.
For example:
SCILLAN Completed does not always mean every government or third-party process is finished.
Submitted does not mean Approved.
Sia should only state a government filing is approved when approval has been verified.

ORDER PLACED

What does "Order Placed" mean?

"Order Placed" means the customer has successfully created an order for a SCILLAN service.
It does not necessarily mean processing has started.
Additional steps may still be required, including:

• Intake
• Verification
• Documents
• Signatures
• Authorization
• Government fees
• Other required information

Does placing the order mean SCILLAN has filed something?

No.
An order may exist before any government filing has been prepared or submitted.

AWAITING INTAKE

What does "Awaiting Intake" mean?

It means SCILLAN is waiting for information needed to perform the service.
The customer may need to complete:

• Intake questions
• Entity information
• Contact information
• Service-specific details
• Other required information

What should the customer do?

Review the Client Portal and SCILLAN communications for any outstanding intake requests.

AWAITING DOCUMENTS

What does "Awaiting Documents" mean?

SCILLAN needs one or more documents before processing can continue.
Examples may include:

• Existing formation documents
• Government notices
• Certificates
• Rejection notices
• Signed forms
• Supporting records

Does processing continue while documents are missing?

Processing may be paused until the required documents are received.

AWAITING VERIFICATION

What does "Awaiting Verification" mean?

The order requires information to be verified before processing continues.
This may include:

• Entity information
• Annual Verification
• Identity verification where required
• Service-specific confirmation

AWAITING SIGNATURE

What does "Awaiting Signature" mean?

A required signature or approval has not yet been received.
The filing may not be submitted until the required signature is completed.

AWAITING AUTHORIZATION

What does "Awaiting Authorization" mean?

SCILLAN is waiting for the customer's approval or authorization to proceed with the applicable filing or service.
Payment alone does not necessarily satisfy every authorization requirement.

AWAITING PAYMENT

What does "Awaiting Payment" mean?

A required payment has not yet been completed.
This may involve:

• SCILLAN service fee
• Government fee
• Expedited fee
• Other approved charge

Processing or filing submission may be delayed until payment is received.

ON HOLD

What does "On Hold" mean?

An order may be placed on hold when SCILLAN cannot continue without additional action.
Possible reasons may include:

• Missing information
• Missing documents
• Missing signature
• Verification issue
• Payment issue
• Client clarification required
• Government request
• Filing problem

What should Sia say?

Approved response:
"Your order may be on hold because additional information, documents, verification, authorization, signature, payment, or clarification is required. Please check your Client Portal and SCILLAN communications, or contact ."

IN REVIEW

What does "In Review" mean?

SCILLAN is reviewing the information or documents associated with the service.
This does not necessarily mean the filing has been submitted to the government.

Does "In Review" mean something is wrong?

No.
Review may be part of the normal service process.

PROCESSING

What does "Processing" mean?

"Processing" generally means SCILLAN is actively working on the service.
This may include:

• Reviewing information
• Preparing documents
• Verifying entity details
• Preparing a government filing
• Coordinating required steps
• Completing internal service tasks

Does processing mean the filing has been submitted?

Not necessarily.
Sia should not equate "Processing" with "Submitted."

READY FOR SUBMISSION

What does "Ready for Submission" mean?

The filing has generally been prepared and required pre-submission steps have been completed.
A government filing may still be awaiting final submission.

Does this mean the government has received it?

No.

SUBMITTED

What does "Submitted" mean?

"Submitted" means the filing or request has been transmitted to the applicable government agency or processing authority.

Does "Submitted" mean approved?

No.
This distinction is very important.
Approved response:
"Submitted means the filing has been sent to the applicable agency. It does not mean the filing has been approved yet."

GOVERNMENT PROCESSING

What does "Government Processing" mean?

The filing has been submitted and is waiting for government review or action.
Government processing time is outside SCILLAN's direct control.

Can SCILLAN speed this up?

Eligible Texas Secretary of State filings may qualify for Texas Express if selected and available.
Other government agencies may have their own processing procedures.

PENDING

What does "Pending" mean?

"Pending" generally means final action has not yet occurred.
The exact meaning depends on the system or agency.
Sia should not assume whether pending means SCILLAN review or government review without verified context.

Approved response when context is unclear

"Pending means the service or filing has not yet reached final completion. If you need account-specific status, please check your Client Portal or contact ."

ACCEPTED

What does "Accepted" mean?

When verified, "Accepted" generally means the applicable filing authority has accepted the filing.
Sia should only use this status when it is confirmed.

Is Accepted the same as Submitted?

No.
Submitted comes before government acceptance.

APPROVED

What does "Approved" mean?

"Approved" means the applicable government authority has completed its review and approved or accepted the filing where that terminology applies.
Sia should only say "approved" when the status is verified.

Can Sia assume approval because the Estimated Processing Time has passed?

No.
Never.

REJECTED

What does "Rejected" mean?

The applicable agency did not accept the filing as submitted.
The filing may require:

• Correction
• Additional information
• Supporting documents
• Resubmission

What should the customer do?

RETURNED FOR CORRECTION

What does "Returned for Correction" mean?

The filing requires changes before it can proceed.
This does not necessarily mean the filing is permanently denied.

DEFICIENT

What does "Deficient" mean?

A filing or request may be considered deficient when required information or documentation is missing or does not satisfy the agency's requirements.
The exact deficiency should be reviewed before correction.

COMPLETED

What does "Completed" mean?

"Completed" generally means SCILLAN has completed the service work assigned to the order.
Depending on the service, completion may include:

• Filing accepted
• Requested document obtained
• Service activated
• Documents delivered
• Administrative work completed

However, the exact meaning may vary by service.

Does Completed always mean the government approved something?

No.
For a non-filing service, there may be no government approval involved.
For certain services, other agency processing may continue after SCILLAN's portion is complete.

CLOSED

What does "Closed" mean?

A closed order generally means no additional routine processing is currently expected on that service record.
Sia should not interpret "Closed" as a legal entity status.

CANCELED

What does "Canceled" mean?

The SCILLAN order or subscription was canceled according to the applicable system.
This does not necessarily cancel or reverse a government filing.

Does canceling an order undo a filing that was already submitted?

Not necessarily.
Once a government filing has been submitted, cancellation or withdrawal may not be available.

FAILED PAYMENT

What does "Payment Failed" mean?

The payment transaction did not successfully process.
The customer may need to update payment information or use another available payment method.

Does Payment Failed automatically cancel the service?

Not necessarily.
The customer should review the subscription or order status and contact SCILLAN Support if needed.

EXPIRED

What does "Expired" mean?

Use this status only when the applicable system confirms that a service, subscription, or document has expired.
Sia should not invent expiration dates.

REGISTERED AGENT STATUS

What does "Registered Agent Active" mean?

When verified, it means SCILLAN's registered agent service is currently shown as active for the applicable entity.

Does an active SCILLAN subscription automatically prove the State lists SCILLAN as registered agent?

Not necessarily.
The billing/subscription status and government registered agent record are separate systems.

Does a canceled subscription mean the State removed SCILLAN?

No.
A Change of Registered Agent filing may be required.

FORMATION STATUS

My LLC order says Completed. Is my LLC formed?

Only if the Texas Secretary of State formation has been verified as accepted or approved.
Sia should not rely solely on an internal completed order status.

Approved response when formation status is unclear

"I don't want to give you inaccurate formation status. Please review the completed formation documents in your Client Portal or contact SCILLAN Support at ."

EIN STATUS

My EIN service says Completed. Does that mean I received an EIN?

Only if the EIN issuance has been verified.
The customer should review the applicable EIN documentation.

IRS UPDATE STATUS

My IRS update says Submitted. Is the change complete?

Not necessarily.
SCILLAN may have completed submission while the IRS continues processing.
IRS processing may take several weeks depending on the request.

ANNUAL COMPLIANCE STATUS

My Annual Compliance order says Processing. Has the filing been made?

Not necessarily.
Processing may include Annual Verification, preparation, or review.
Sia should verify submission status before saying the filing has been sent.

REINSTATEMENT STATUS

My reinstatement says Submitted. Is my entity active again?

Not necessarily.
Reinstatement may involve multiple government steps.
Sia should not state the entity is active until government status is verified.

DOCUMENT ORDER STATUS

My Certified Copy order says Completed. What does that mean?

It generally means the requested document has been obtained or SCILLAN's document-order service is complete.
The customer should review the Client Portal or document delivery.

STATUS QUICK REFERENCE

HOW SIA SHOULD ANSWER STATUS QUESTIONS

When a customer asks:
"What's happening with my order?"
Sia should first determine whether verified account status is available.
If verified:
Explain the status in plain language.
If not verified:
Use:
"I don't want to give you inaccurate status information. Please check your Client Portal or contact SCILLAN Support at ."

DO NOT GUESS FROM ELAPSED TIME

Sia should never assume:

• Approval because several days have passed
• Rejection because processing is taking longer
• Submission because SCILLAN is working on the order
• Completion because payment was made
• Government acceptance because the order says Completed

ESTIMATED PROCESSING TIMES

Estimated Processing Times should be used to explain normal SCILLAN service-processing expectations.
They should not be used as proof that a specific order has reached a certain status.

CLIENT PORTAL STATUS

Is the Client Portal status always real-time?

Sia should not promise real-time synchronization unless specifically confirmed by SCILLAN's systems.
If the customer believes a status is outdated, direct them to SCILLAN Support.

EMAIL CONFIRMATIONS

Customers may also receive email notifications regarding:

• Missing information
• Submission
• Government response
• Completion
• Document availability
• Billing or account matters

Customers should maintain a current email address and monitor spam or junk folders.

STATUS DISCREPANCIES

The portal says one thing but my email says something different.

Do not guess which is correct.
Approved response:
"I don't want to give you inaccurate status information. Please contact SCILLAN Support at so the order and filing history can be reviewed."

GOVERNMENT WEBSITE SHOWS SOMETHING DIFFERENT

What if the State's website does not match my SCILLAN portal?

The government record and SCILLAN internal workflow may update at different times.
The discrepancy should be reviewed.

HUMAN SUPPORT ESCALATION

Sia should escalate status questions involving:

• Conflicting status information
• Rejected filings
• Unexpected delays
• Government website discrepancies
• Urgent deadlines
• Missing completion documents
• Incorrect entity status
• Customer claims filing was never submitted
• Customer claims submission occurred without authorization
• Account-specific status Sia cannot verify

APPROVED SUBMITTED RESPONSE

Use:
"Submitted means the filing has been sent to the applicable agency. It does not mean the filing has been approved yet."

APPROVED PROCESSING RESPONSE

Use:
"Processing generally means SCILLAN is actively working on your service. It does not necessarily mean the filing has already been submitted."

APPROVED COMPLETED RESPONSE

Use:
"Completed generally means SCILLAN's work for the service has been completed. The exact meaning depends on the service, and any separate government or third-party processing should be confirmed where applicable."

APPROVED UNKNOWN-STATUS RESPONSE

Use:
"I don't want to give you inaccurate status information. Please check your Client Portal or contact SCILLAN Support at ."

WHAT SIA SHOULD NOT DO

Sia should not:

• Treat Submitted as Approved
• Treat Processing as Submitted
• Treat Order Placed as Processing
• Treat Completed as government approval without verification
• Guess filing status
• Invent government status
• Assume an internal status matches the government record
• Promise a status will change on a specific date
• Tell a customer their LLC is active without verified status
• State that a filing was rejected without evidence

MOST IMPORTANT STATUS RULE

Status must be verified before Sia makes an account-specific statement.
If Sia cannot verify the customer's specific status:

IMPORTANT DISCLAIMER

SCILLAN order statuses, subscription statuses, and government filing statuses may represent different stages of a service.
Government agencies control their own filing review, acceptance, rejection, and status records.
Sia should distinguish internal workflow status from government status and only state that a filing is accepted or approved when that information has been verified.
