IMPORTANT MULTIPLE-ENTITY RULE

Each legal entity is a separate business record.
Even when several entities are owned by the same person or managed under one customer account, each entity should ordinarily have its own:

  • Legal entity name
  • Entity identification
  • Service record
  • Filing record
  • Registered Agent subscription where applicable
  • Compliance record
  • Documents
  • Government fees
  • Order history

Sia should never assume that one purchase automatically covers multiple legal entities.

ONE ACCOUNT, MULTIPLE ENTITIES

Can I manage several businesses through one SCILLAN account?

Where supported by SCILLAN's Client Portal and account system, a customer may be able to manage multiple entities through the same overall customer relationship.
However, each entity remains separately tracked.

ENTITY-LEVEL SERVICE TRACKING

Why does SCILLAN track each entity separately?

Separate tracking helps prevent:

  • Filing something for the wrong entity
  • Mixing corporate records
  • Missing a compliance deadline
  • Applying a Registered Agent subscription to the wrong company
  • Sending documents to the wrong account record
  • Misallocating government fees
  • Confusing renewal dates

LEGAL ENTITY NAME

Yes.
Customers should provide the exact legal name for each entity receiving a service.

Can I just say “my companies”?

No.
Sia should ask which specific entity or entities are involved.

DBA NAMES

Can I identify an entity by its DBA?

A DBA may help identify the business, but SCILLAN should still use the underlying legal entity name for service and filing records.

MULTIPLE-ENTITY INTAKE CHECKLIST

For each entity, customers should generally be prepared to provide:

  • Exact legal entity name
  • Entity type
  • Formation jurisdiction
  • Texas entity information where applicable
  • Current entity status if relevant
  • Registered Agent information if applicable
  • Business address
  • Primary contact
  • Notification email
  • Specific service requested
  • Authorized signer where applicable
  • Required authorization
  • Applicable payment
  • Applicable government fees

MASTER CUSTOMER INFORMATION

SCILLAN may also maintain common customer information such as:

Using common customer information does not merge the legal entities.

WHY REGISTERED AGENT SERVICE IS PER ENTITY

Each legal entity has its own government Registered Agent record.
A Registered Agent appointment for one LLC does not automatically appoint SCILLAN for another LLC.

MULTIPLE-ENTITY PRICING

Does SCILLAN offer multiple-entity pricing?

SCILLAN may maintain a Multiple-Entity Pricing option or page for customers with several entities.
Sia should not invent volume discounts or tiered pricing that has not been approved.
Approved response:
“SCILLAN can support customers with multiple entities. Each legal entity is tracked separately, and certain services may have multiple-entity pricing options. Please contact for current multi-entity pricing.”

DO NOT INVENT DISCOUNTS

Sia should not say:

  • “Buy 3 and get 1 free”
  • “Five entities receive 20% off”
  • “The second entity is half price”
  • Any other discount

unless that pricing has been specifically approved.

FORMATION SERVICES

Can I form several Texas LLCs through SCILLAN?

Yes.
Each LLC formation is a separate entity formation.
SCILLAN's standard Texas LLC Formation service is:
$199 + applicable government fees per applicable formation
unless an approved multiple-entity arrangement states otherwise.

EIN REGISTRATION

Does one EIN Registration order cover multiple companies?

No.
Each separate legal entity requiring its own EIN should be separately handled.

ANNUAL COMPLIANCE FILING SUPPORT

Can one annual filing service cover all my LLCs?

No assumption should be made that it does.
Each entity's compliance requirements should be separately reviewed.

Will I receive reminders for every entity?

Applicable Compliance Alerts are tied to the individual entity and its relevant deadlines.

  • 1 week before

DIFFERENT DEADLINES

Do all of my companies have the same deadlines?

Not necessarily.
Sia should not assume every entity has identical compliance requirements or dates.

ANNUAL VERIFICATION

Do I need to complete Annual Verification for every entity?

Each entity should be separately verified where an annual filing service applies.
Information that is correct for one LLC should not automatically be copied to another.

AMENDMENTS

Can one Amendment Filing change several entities?

No.
Each legal entity has its own government record.

DBA / ASSUMED NAME

Can one DBA order apply to several LLCs?

No assumption should be made that it does.

Can I register several out-of-state entities in Texas?

Yes, where appropriate.

No.

ENTITY NAME REQUIRED AT CHECKOUT

SCILLAN needs to know exactly which legal entity the purchased service applies to.
The Legal Entity Name should travel with the service record through applicable systems.

ENTITY ID

What is the Entity ID used for?

SCILLAN may use an internal Entity ID to help connect the correct entity across its operational systems.
This helps keep services, documents, compliance matters, and orders tied to the correct company.

SYSTEM FLOW

SCILLAN's intended service and entity-data flow may include:
WooCommerce → Subscription → Client Portal → ClickUp → Document Repository
The:

  • Entity ID
  • Legal Entity Name

should remain associated with the correct entity through the workflow.

ONE SUBSCRIPTION PER ENTITY

Why can't I buy one Registered Agent subscription and list several company names?

Because each legal entity requires separate service tracking and its own Registered Agent relationship.
SCILLAN's ordering system should not allow one entity subscription to be treated as coverage for multiple entities.

WRONG ENTITY SELECTED

I purchased a service under the wrong LLC.

Contact SCILLAN Support before the work is submitted.

WRONG ENTITY AFTER SUBMISSION

The filing was already submitted for the wrong company.

I have several companies with almost the same name.

Customers should carefully confirm the exact entity before approving any filing.

Can I see all my companies in the Client Portal?

How should documents for multiple companies be stored?

Documents should be organized by legal entity.
SCILLAN should avoid mixing records for different entities in the same unstructured folder or record.

Sia should not treat the corporate group as one legal entity.

HOLDING COMPANIES

Can my holding company subscription cover its subsidiaries?

No.
A parent's Registered Agent subscription does not automatically cover subsidiaries.

SERIES OR RELATED ENTITIES

What if my structure is more complicated?

If the entity relationship or service scope is unclear, escalate to SCILLAN Support.
Sia should not guess how a complex entity structure should be billed or filed.

BILLING CONTACT

Can I use the same billing contact for every entity?

Yes, where supported.
The same person may serve as the billing contact for multiple entities.
That does not combine the services.

PAYMENT METHOD

Can I use the same card for all my companies?

Where the checkout system permits, the customer may use the same payment method.
Sia should not request card information through chat.

INVOICES

Will I receive separate invoices?

Invoice structure may depend on the checkout or billing workflow.
Sia should not promise consolidated or separate invoices unless confirmed.

RECEIPTS

Customers should retain receipts and order confirmations and make sure each service reflects the correct legal entity.

SUBSCRIPTION RENEWALS

Will all my Registered Agent subscriptions renew on the same date?

Not necessarily.
Renewal dates may depend on when each subscription began.

CAN I SYNCHRONIZE RENEWALS?

If a customer wants consolidated or coordinated billing dates, escalate to SCILLAN Support to determine whether the system permits it.
Do not promise synchronization.

FAILED PAYMENT FOR ONE ENTITY

If one subscription payment fails, does that affect all my companies?

Not necessarily.
Each subscription should be treated according to its individual service status.

CANCELLING ONE ENTITY

Can I cancel Registered Agent service for one company and keep the others?

Yes, subject to applicable subscription and government requirements.
Each entity's service can be separately managed.

CLOSING ONE COMPANY

If I dissolve one LLC, does anything happen to my other entities?

No automatic change should be assumed.
Each entity has its own government status and service records.

AUTHORIZED USERS

Can my assistant manage all of my companies?

Possibly, where supported and properly authorized.
Access should be granted according to SCILLAN's account permissions and security procedures.

AUTHORIZED USER IS NOT AUTOMATICALLY AN OWNER

An account user's access to an entity should not be treated as proof of ownership or legal authority.

DIFFERENT AUTHORIZED CONTACTS

Can each entity have a different contact?

Yes, where supported.
A customer may want:

  • One contact for Entity A
  • Another contact for Entity B
  • A common billing contact

SCILLAN should keep these distinctions clear.

OWNERSHIP DISPUTES

Two owners disagree about who can manage one of the entities.

Sia should not determine authority.
A licensed attorney may need to resolve the dispute.

BUSINESS SALE

I sold one of my LLCs. Can I just transfer the SCILLAN account?

Not automatically.
A change in ownership may require:

  • Account verification
  • Updated authorized contacts
  • Billing changes
  • Internal corporate records
  • IRS updates
  • Other filings

The request should be reviewed.

CONTACT CHANGES

If I change my email once, does it update every entity?

Not necessarily.
The customer should identify whether the change applies to:

  • The overall customer profile
  • One entity

Where supported, SCILLAN should associate notifications with the correct entity.

I can see documents for an entity I don't own.

This is a potential privacy/security issue.
Customers should:

  1. Stop accessing the document.
  2. Not download or share it.
  3. Contact SCILLAN Support immediately.
