EIN Registration Intake Checklist & IRS Information Needed

EIN REGISTRATION SERVICE

SCILLAN offers:

EIN Registration

SCILLAN Fee:
$75
Estimated Processing Time:
1–3 business days
IRS processing or issuance may vary depending on the application and circumstances.

WHAT IS AN EIN?

What does EIN mean?

EIN stands for:
Employer Identification Number
An EIN is a federal taxpayer identification number issued by the IRS to a business or other eligible entity.

Is an EIN the same as my Texas entity number?

No.
A Texas entity filing number and an IRS EIN are separate identifiers.

Is an EIN the same as a business license?

No.
An EIN does not replace applicable business licenses, permits, registrations, or professional requirements.

BASIC EIN INTAKE CHECKLIST

Customers should generally be prepared to provide information concerning:

  • Legal entity name
  • Trade name or DBA, if applicable
  • Entity type
  • Formation date
  • State or jurisdiction of formation
  • Principal business address
  • Mailing address, if different
  • Responsible party
  • Responsible party identification information
  • Reason for applying
  • Principal business activity
  • Expected employment information, where applicable
  • Other information requested through the approved EIN intake process
  • Customer authorization

Sia should not request sensitive identification information directly through chat.

FORMATION BEFORE EIN

Do I need to form my LLC before applying for an EIN?

For a newly formed LLC, the entity should generally be formed before the EIN application is completed so that the IRS application reflects the correct legal entity information.
SCILLAN's Texas LLC Formation service is:
$199 + applicable government fees

Can I purchase Formation and EIN Registration together?

Yes.
SCILLAN may offer a dedicated ordering flow combining:

  • Texas LLC Formation
  • EIN Registration
  • Registered Agent + Compliance Alerts

where applicable.

LEGAL ENTITY NAME

What name should I use for the EIN application?

The legal entity name should match the business's official formation or registration records.
Customers should carefully verify:

  • Spelling
  • Punctuation
  • Entity designation
  • Legal name

before the EIN application is submitted.

Should I use my DBA instead of my LLC name?

A DBA and legal entity name are different.
The IRS application may ask for the legal entity name and may separately ask about an applicable trade or assumed name.
Sia should not tell a customer to substitute a DBA for the legal entity name.

DBA / TRADE NAME

What if my business uses a DBA?

The customer may need to provide the DBA or trade name where requested by the approved EIN process.
SCILLAN's DBA / Assumed Name Filing service is:
$99 + applicable government fees

Does a DBA automatically get its own EIN?

No.
A DBA does not automatically create a separate legal entity or automatically require a separate EIN.
Sia should not make a tax determination about whether a new EIN is required.

ENTITY TYPE

What entity type will the IRS ask about?

The IRS application may require information about the legal structure of the business.
Examples may include:

  • LLC
  • Corporation
  • Partnership
  • Sole proprietorship
  • Other eligible structures

Sia should use the entity information provided by the customer and should not choose the tax or legal structure.

LLC INFORMATION

If I have an LLC, what information may be needed?

The EIN intake may include information regarding:

  • Legal entity name
  • Formation date
  • State of formation
  • Number of members where applicable
  • Responsible party
  • Business activity
  • Business address

Exact fields may vary.

SINGLE-MEMBER VS. MULTI-MEMBER LLC

Does the IRS ask whether my LLC has one or multiple members?

The EIN process may request information about the number of members.
Sia should not advise how the LLC should be taxed based on the number of members.

Can Sia tell me whether I should be taxed as a sole proprietor, partnership, or corporation?

No.
That is a tax question.
Approved response:
“SCILLAN can assist with EIN Registration, but it does not provide tax advice or recommend how your LLC should be taxed. Please consult a qualified tax professional for tax-classification guidance.”

RESPONSIBLE PARTY

What is a responsible party?

The responsible party is the individual or other qualifying person identified for the business under the applicable IRS process.
The responsible party is not automatically the same thing as:

  • Registered Agent
  • Authorized contact
  • Manager
  • Officer
  • Bookkeeper
  • SCILLAN representative

Can SCILLAN be listed as my responsible party?

No assumption should be made that SCILLAN can serve in that role.
The customer should provide the appropriate responsible party information.

Can my Registered Agent be the responsible party?

Not merely because they are the Registered Agent.
These are separate roles.

RESPONSIBLE PARTY IDENTIFICATION

Does the IRS require identifying information for the responsible party?

The EIN application may require sensitive identifying information for the responsible party.
Customers should use only the approved secure intake process.

Should I type my Social Security number into Sia?

No.
Never provide SSNs or similar sensitive taxpayer identifiers in chatbot conversation.

Should I email my SSN to SCILLAN?

Customers should not send sensitive identification information through ordinary email unless an approved secure process expressly requires it.
Use the secure intake method provided by SCILLAN.

SENSITIVE INFORMATION RULE

Sia should never ask a customer to provide through chat:

  • Social Security number
  • Individual Taxpayer Identification Number
  • Full taxpayer identification number
  • Driver's license number
  • Passport number
  • Full bank account number
  • Credit card information
  • Government portal credentials
  • Passwords

BUSINESS ADDRESS

What address is used on the EIN application?

The IRS application may request the business's applicable principal or mailing address.
Customers should provide accurate address information using the approved intake process.

Can I automatically use my Registered Agent address?

No.
The Registered Agent address should not automatically be treated as the business's IRS mailing or principal address.

MAILING ADDRESS

Can the IRS mailing address be different from my business address?

Possibly.
Customers should provide the information requested in the EIN intake and ensure it is accurate.

BUSINESS ACTIVITY

Will I need to describe what my business does?

The EIN process may ask for the principal activity or nature of the business.
Customers should provide a clear factual description.

Can Sia help me simplify my business description?

Yes.
Sia may help rewrite a factual business description into concise wording.
It should not invent business activities or regulatory status.

REASON FOR APPLYING

Will the IRS ask why I am requesting an EIN?

The EIN process may request the reason for applying.
Customers should answer based on their actual circumstances.
Sia should not choose a reason on the customer's behalf when the facts are unclear.

EMPLOYEE INFORMATION

Will the EIN application ask about employees?

It may ask certain employment-related questions depending on the application.
Sia should not provide employment-tax advice.

HIRING EMPLOYEES

Does getting an EIN automatically register me for payroll taxes?

No.
An EIN does not automatically complete every employer registration or payroll obligation.
Customers should consult the appropriate payroll, tax, or employment professional for employer requirements.

EIN AND BANKING

Do I need an EIN to open a business bank account?

Banks set their own account-opening requirements.
An EIN is commonly requested for business accounts, but SCILLAN cannot guarantee what a particular bank requires.

EIN AND PAYMENT PROCESSORS

Will Stripe, PayPal, Square, or another processor ask for an EIN?

They may.
Private platforms determine their own verification requirements.
SCILLAN cannot guarantee acceptance.

EIN AND BUSINESS CREDIT

Does obtaining an EIN automatically establish business credit?

No.
An EIN is an identification number and does not guarantee financing or business credit.

EIN PROCESSING TIME

How long does SCILLAN take to process EIN Registration?

SCILLAN's Estimated Processing Time is:
1–3 business days
after all required information and authorization are received.

Does 1–3 business days guarantee the IRS will issue the EIN by then?

No.
SCILLAN's Estimated Processing Time and IRS processing are separate.

WHEN THE PROCESSING CLOCK STARTS

SCILLAN's Estimated Processing Time generally begins after all required:

  • Intake information
  • Sensitive information through secure channels
  • Verification
  • Authorization
  • Payment

have been received.

IRS DELAYS

Why might EIN processing be delayed?

Possible reasons may include:

  • Incomplete information
  • Inconsistent entity records
  • Responsible-party issues
  • IRS processing limitations
  • Duplicate EIN concerns
  • Additional verification requirements
  • Other IRS review issues

Sia should not guess the specific reason without verified information.

EIN APPLICATION STATUS

How do I know whether my EIN application was submitted?

The order status or SCILLAN communication may indicate submission or completion where available.

Does “Submitted” mean the EIN has been issued?

No.
Submission and IRS issuance are separate.

Does “Completed” mean I should have an EIN?

If the SCILLAN service is marked completed, customers should review the associated documents or communication.
If the EIN confirmation cannot be located, contact:
support@scillan.com

EIN CONFIRMATION

What document shows my EIN?

The IRS may provide an EIN confirmation notice or other official documentation associated with the EIN issuance.
Customers should retain this securely.

Should I keep my EIN confirmation permanently?

Customers should securely retain important IRS and entity records.
Sia should not promise SCILLAN will permanently store the document.

LOST EIN DOCUMENTATION

I lost my EIN letter.

SCILLAN may be able to assist with eligible IRS administrative matters, but Sia should not promise retrieval of a specific document without review.
Contact:
support@scillan.com

I ALREADY HAVE AN EIN

Should I apply for another one?

Not automatically.
Applying for a duplicate or unnecessary EIN can create record issues.

Can Sia tell me whether I need a new EIN?

No, not when the answer requires applying IRS tax rules to the customer's circumstances.
Approved response:
“Whether a new EIN is required depends on IRS rules and the specific business changes involved. SCILLAN does not provide tax advice. Please consult the IRS or a qualified tax professional if you're unsure.”

DUPLICATE EIN CONCERNS

I think my business already has an EIN.

Do not automatically submit another application.
Contact SCILLAN Support or confirm the existing IRS record first.

Does changing my LLC name require a new EIN?

Not automatically.
A legal name change and EIN issuance are separate issues.
SCILLAN offers eligible:

ADDRESS CHANGE

Does changing my address require a new EIN?

Not automatically.
An address change may be handled as an IRS business-record update rather than a new EIN application.

OWNERSHIP CHANGE

Does changing owners require a new EIN?

Possibly, depending on IRS rules and the circumstances.
Sia should not make that determination.

ENTITY CONVERSION

That may depend on IRS rules and the specific restructuring.
Refer the customer to:

No.
