SCILLAN CLIENT PORTAL

The SCILLAN Client Portal is intended to give customers secure access to applicable:

  • Legal entities
  • Purchased services
  • Service status
  • Business documents
  • Registered Agent records
  • Compliance information
  • Filing information
  • Other account resources

The exact features available may depend on SCILLAN's current portal configuration and the customer's services.

IMPORTANT PORTAL RULE

Client Portal access and legal authority are not the same thing.
A person having portal access does not automatically mean that person is:

  • An owner
  • A member
  • A manager
  • An officer
  • A director
  • An authorized government signer
  • Authorized to dissolve the business
  • Authorized to change ownership

Portal permissions are administrative account permissions.
Legal authority must be established separately where required.

BASIC CLIENT PORTAL SETUP CHECKLIST

Customers may generally need to provide:

  • Customer name
  • Email address
  • Exact Legal Entity Name
  • SCILLAN order information where applicable
  • Phone number where requested
  • Primary account contact
  • Billing contact where applicable
  • Authorized-user information if additional access is requested
  • Services associated with the entity
  • Required verification
  • Appropriate authorization

SCILLAN may request additional information depending on the account.

WHEN IS THE CLIENT PORTAL CREATED?

Does the portal appear immediately after checkout?

Not necessarily.
Portal access may be created after applicable:

  • Payment confirmation
  • Order creation
  • Account setup
  • Entity linking
  • Customer verification
  • Service onboarding

Sia should not promise immediate portal access unless the current system confirms it.

ORDER CONFIRMATION VS. PORTAL ACCESS

I received an order confirmation but no portal invitation.

An order confirmation and portal provisioning are separate steps.
Customers should first check:

  • Inbox
  • Spam
  • Junk
  • Promotions

If the invitation cannot be located, contact:
support@scillan.com

PORTAL INVITATION EMAIL

What email address will receive the invitation?

Typically, the applicable email associated with the customer or order will be used.
If the customer used the wrong email during checkout, Support may need to correct the account information.

WRONG EMAIL AT CHECKOUT

I entered the wrong email address.

Contact:
support@scillan.com
Do not create multiple accounts simply to work around the error unless SCILLAN directs the customer to do so.

PRIMARY ACCOUNT EMAIL

Can I change my Client Portal email later?

Possibly.
Identity or account verification may be required before changing the login email.
Sia should not make the change based only on an unverified chat request.

EMAIL CHANGE DOES NOT UPDATE EVERYTHING

Changing the Client Portal email does not automatically mean the same email is updated for:

  • Registered Agent notifications
  • Billing
  • Government filings
  • IRS records
  • Texas Secretary of State records
  • Texas Comptroller records

Those may require separate updates.

LEGAL ENTITY LINKING

SCILLAN uses the exact Legal Entity Name to associate the correct:

  • Services
  • Documents
  • Subscriptions
  • Filing records
  • Compliance records

with the correct company.

ENTITY ID

SCILLAN may use an internal Entity ID in addition to the Legal Entity Name.
The Entity ID helps keep the correct entity connected across SCILLAN's systems.

SYSTEM FLOW

SCILLAN's intended operational flow may include:
WooCommerce → Subscription → Client Portal → ClickUp → Document Repository
The:

  • Legal Entity Name
  • Entity ID

should remain connected throughout the workflow.

ENTITY NOT SHOWING

I paid, but my LLC isn't in the portal.

Possible reasons may include:

  • Portal setup still processing
  • Entity not yet linked
  • Different email used at checkout
  • Order still awaiting onboarding
  • Entity record requires review
  • Service was purchased under another Legal Entity Name

Sia should not guess which issue applies.

APPROVED MISSING-ENTITY RESPONSE

Use:
“If your entity is not appearing in the Client Portal, please contact SCILLAN Support at with the email associated with your account, the exact Legal Entity Name, and your order number if available so the entity can be reviewed.”

WRONG ENTITY SHOWING

I see the wrong LLC in my portal.

This should be reviewed promptly.
If the entity belongs to the same customer but was linked incorrectly, Support should correct the account structure.
If the entity belongs to another customer, treat it as a privacy/security incident.

ANOTHER CUSTOMER'S ENTITY OR DOCUMENT

If a customer can access information that appears to belong to another customer:

  1. Stop viewing the information.
  2. Do not download it.
  3. Do not forward it.
  4. Do not share it.
  5. Contact SCILLAN immediately.

MULTIPLE ENTITIES

Can I manage several LLCs under one portal account?

Where supported, yes.
Multiple legal entities may be managed under the same customer relationship.
Each entity should still remain separately identifiable.

MULTIPLE-ENTITY PORTAL EXAMPLE

A customer's portal may contain separate records for:

  • ABC Ventures LLC
  • ABC Holdings LLC
  • ABC Consulting LLC

Each entity should have its own applicable:

  • Services
  • Documents
  • Compliance information
  • Registered Agent status
  • Filing history

ONE ACCOUNT DOES NOT MERGE ENTITIES

Having several entities under one portal account does not legally combine them.

REGISTERED AGENT SUBSCRIPTIONS

If multiple entities use SCILLAN Registered Agent service, each legal entity ordinarily requires its own:
$179/year Registered Agent + Compliance Alerts subscription
Portal consolidation does not change the per-entity pricing structure.

SERVICES ASSOCIATED WITH THE WRONG ENTITY

My service is showing under the wrong LLC.

Contact Support before another purchase is made.
Provide:

  • Correct Legal Entity Name
  • Incorrect entity shown
  • Service
  • Order number

DO NOT REPURCHASE IMMEDIATELY

An entity-linking problem does not necessarily require another order.
SCILLAN should review whether the existing service can be correctly associated.

DOCUMENT ACCESS

Where can I find my documents?

Applicable documents may be available through:

  • Client Portal
  • Secure document repository
  • Approved document-delivery system

The exact location may depend on the service.

DOCUMENT CATEGORIES

Documents may be organized by categories such as:

  • Formation
  • Registered Agent
  • Amendments
  • Compliance
  • IRS / EIN
  • Certificates
  • Reinstatement
  • Dissolution
  • Other corporate records

Exact folder names may vary.

DOCUMENT NOT SHOWING

I received an email saying my document is ready, but I don't see it.

Customers should:

  1. Confirm they are logged into the correct account.
  2. Confirm the correct entity is selected.
  3. Check the applicable document area.
  4. Refresh or sign back in if necessary.
  5. Contact Support if still missing.

DOCUMENT LINK DOES NOT WORK

If a secure document link fails, contact:
support@scillan.com
Do not ask customers to send passwords or authentication codes through chat.

DOCUMENT DOWNLOAD

Can I save copies of my SCILLAN documents?

Customers should maintain their own secure copies of important business records.
SCILLAN should not be treated as the customer's only permanent record repository.

ACCOUNT LOGIN

I cannot log in.

Customers should first use the approved password-reset process.

PASSWORD RESET NOT WORKING

If password reset fails:

and provide:

  • Account email
  • Legal Entity Name
  • General login issue

Do not provide the password.

SIA SHOULD NEVER REQUEST PASSWORDS

Sia must never ask customers to provide:

  • Client Portal password
  • Email password
  • Banking password
  • Stripe password
  • Government portal password
  • One-time authentication code

MULTI-FACTOR AUTHENTICATION

Can Sia ask for my verification code?

No.
One-time verification codes should not be shared with Sia.

ADDING AN AUTHORIZED USER

Can I add someone else to the portal?

Possibly, where supported.
SCILLAN may require information such as:

  • Legal Entity Name
  • Existing account holder
  • New user's name
  • New user's email
  • Requested access level
  • Customer authorization

WHO CAN BE AN AUTHORIZED USER?

Depending on customer needs and system permissions, an authorized user might include:

  • Business owner
  • Manager
  • Employee
  • Administrative assistant
  • Accountant
  • Bookkeeper
  • Attorney
  • Other approved representative

Portal access does not establish legal ownership or signing authority.

ACCOUNTANT ACCESS

Can my accountant access the Client Portal?

Possibly, if the account owner properly authorizes access and the portal supports the requested permissions.
Sia should not add access based solely on the accountant asking.

ATTORNEY ACCESS

Can my attorney have access?

Possibly, with appropriate customer authorization.

EMPLOYEE ACCESS

Can my employee manage filings?

Portal access alone does not automatically authorize an employee to sign or approve government filings.

ASSISTANT ACCESS

Can my assistant manage documents?

Possibly, depending on approved permissions.
The customer should specify what access the assistant needs.

MINIMUM NECESSARY ACCESS

Where SCILLAN can control permission levels, access should be appropriate to the person's role.
Sia should not encourage broad access to sensitive records when unnecessary.

REMOVING AN AUTHORIZED USER

Someone no longer works for my company. How do I remove them?

Contact SCILLAN Support or use the approved account-management controls where available.
Access should be removed promptly when no longer needed.

TERMINATED EMPLOYEE

If a former employee still appears to have access:
Escalate promptly.
The account owner should not share or reuse the former employee's password.

OWNERSHIP CHANGE

I sold my company. Can I just give the new owner my login?

No.
SCILLAN should review and properly update:

  • Account ownership
  • Authorized users
  • Billing
  • Entity contacts
  • Registered Agent notifications
  • Other relevant records

Customers should not simply transfer credentials.

SHARED LOGIN CREDENTIALS

Can my whole team use the same login?

SCILLAN should favor individual authorized access where supported rather than credential sharing.
Sia should not encourage password sharing.

PORTAL ACCESS VS. GOVERNMENT AUTHORITY

A portal user is not automatically authorized to:

  • Amend the company
  • Change Registered Agent
  • Dissolve the company
  • Change ownership
  • Sign government filings
  • Modify IRS records

These actions may require separate authorization.

AUTHORIZED SIGNER

Does giving someone portal access make them an authorized signer?

No.
These are separate concepts.

PRIMARY CONTACT VS. AUTHORIZED USER

What's the difference?

Primary Contact

The main person SCILLAN communicates with regarding the customer or entity.

Authorized User

A person permitted to access some or all of the Client Portal.
One person may be both, but the roles are not automatically identical.

BILLING CONTACT

Can the billing person be different from the portal administrator?

Possibly.
Billing permissions and entity access should be kept separate where appropriate.

REGISTERED AGENT NOTIFICATION CONTACT

Is the portal email automatically the Registered Agent email?

Not necessarily.
The Registered Agent notification contact should be separately verified where applicable.

COMPLIANCE ALERT EMAIL

Customers should maintain the correct email for applicable Compliance Alerts.
Changing a portal login email should not be assumed to update compliance-notification preferences automatically.

EMAIL-ONLY REGISTERED AGENT NOTIFICATIONS

SCILLAN's standard Registered Agent and compliance notifications are primarily:
Email-based
not SMS.

SERVICE STATUS IN PORTAL

What statuses might I see?

Depending on the service, statuses may include:

  • Order received
  • Awaiting intake
  • Awaiting information
  • In review
  • Awaiting authorization
  • Prepared
  • Submitted
  • Government processing
  • Completed

Exact portal labels may vary.

“SUBMITTED” DOES NOT MEAN “APPROVED”

If the portal shows:
Submitted
the filing may still be under government review.

“COMPLETED” DOES NOT ALWAYS MEAN EVERY AGENCY UPDATED

A completed SCILLAN workflow does not necessarily mean every:

  • Government database
  • Bank
  • IRS record
  • Licensing agency
  • Third party

has already reflected the change.

SUBSCRIPTION INFORMATION

Can I see my Registered Agent subscription in the portal?

Where supported, applicable subscription details may be visible.

RENEWAL DATE

Can Sia tell me when my subscription renews?

Only if verified account information is available.
Otherwise, customers should review the billing/subscription area or contact Support.

PAYMENT METHOD

Customers should manage payment information through an approved secure billing process.
Sia should not request payment-card details.

UPDATE CARD

Can I send Sia my new credit card number?

No.
Use the secure billing system.

PORTAL AND ANNUAL VERIFICATION

Customers may be directed to complete Annual Verification through the appropriate secure workflow.
Annual Verification generally takes:
5–10 minutes

PORTAL AND ANNUAL COMPLIANCE

Annual Compliance Filing Support is:
$99 + applicable government fees
and is separate from Registered Agent service.

PORTAL AND REGISTERED AGENT

Registered Agent + Compliance Alerts is:
$179/year per entity
Portal access itself is not Registered Agent service.

NEW SERVICE PURCHASES

Can I purchase additional services through the portal?

Where the current system provides purchasing links or service options, customers may use them.
Sia should not promise a portal feature that has not been implemented.

TECHNICAL ERRORS

If the portal displays an error, Sia may ask for:

  • Account email
  • Legal Entity Name
  • General error message
  • Page or function being used
  • Whether issue occurs after login
  • Whether several entities are affected

Do not ask for passwords.

SCREENSHOTS

Can I send a screenshot of an error?

A screenshot may be helpful if it does not expose unnecessary sensitive information.
Customers should avoid screenshots containing:

  • Full payment-card information
  • SSNs
  • Passwords
  • Authentication codes
  • Sensitive taxpayer IDs

BROWSER TROUBLESHOOTING

For a basic technical problem, Sia may suggest:

  • Refreshing the page
  • Signing out and back in
  • Trying a supported browser
  • Clearing an isolated browser issue where appropriate
  • Checking whether the correct account email is being used

If the issue persists, escalate.

DO NOT CREATE MULTIPLE ACCOUNTS AS A FIX

Customers should not be told to create multiple portal accounts simply because an entity or document is missing.
This may make account linking more difficult.

DUPLICATE ACCOUNTS

I accidentally created two accounts.

Contact Support so the accounts can be reviewed.
Sia should not promise they can automatically be merged.

ACCOUNT SECURITY

Customers should:

  • Use a strong password
  • Avoid password sharing
  • Keep email access secure
  • Remove former users promptly
  • Report suspicious access
  • Use available security controls

SUSPECTED ACCOUNT COMPROMISE

Someone may have accessed my account.

This is a security issue.
Customers should:

  1. Change the password through the approved process.
  2. Secure the associated email account.
  3. Contact SCILLAN Support immediately.
  4. Review authorized users and account activity where available.

PHISHING

I received a suspicious SCILLAN-looking email.

Do not enter credentials through a suspicious link.
Contact SCILLAN using the verified Support email:

WRONG CUSTOMER INFORMATION

If a customer sees:

  • Wrong name
  • Wrong company
  • Wrong billing contact
  • Wrong email
  • Wrong service

GOVERNMENT RECORD VS. PORTAL RECORD

If I update information in the portal, does the State automatically update?

No.
Portal profile changes do not automatically amend government records.
